Requirements for e-bills

E-bills are subject to the same legal requirements as normal bills. This also means that e-bills must contain the general mandatory information on an invoice. This means that the address data, bank details and the VAT ID of your company must be transmitted. These are previously in BUSINESS to deposit. In addition to these mandatory information, there is also additional information that must be filled in depending on the requirements of your client.

Mandatory information

Address data of your own company

Enter the address data of your own company in the company data. To do this, switch to the tab Program data, to the point Company and then to company address. In the window that opens, please enter the full address details of your company.

VAT ID

Enter your sales tax ID under the parameters in the financial administration. Please make sure that you enter your sales tax ID in full with the country code (DE for Germany). VAT ID

Bank account IBAN

You also enter your main bank details in the financial administration. Here is the field IBAN a mandatory field for the e-bill. Bank account IBAN (In the financial administration, the main bank details must contain an IBAN)

Please start after every change or new creation of a bank account DATAflor BUSINESS new to apply the changes.

The main bank account is used as a default for printing invoices. However, you can also manually select a different bank account when printing out an X-invoice. To do this, however, it must have been created in the financial administration and contain an IBAN.


Contact details of the invoice issuer

In order to issue an e-bill, you must also provide the biller's contact details. Please fill in the contact person, the telephone number and the e-mail address of the person registered BUSINESS-User in the print preferences for the employee address. In the respective employee address in the tab Details > User find the Printing Preferences. About the Plus logic you can activate the corresponding entries. Please make sure that you enter a complete telephone number, the simple extension is not sufficient.

Phone number

Route ID / order number

The Route ID is a code number provided by the respective client for correct addressing of the invoice. In the course of implementing e-billing, the federal, state and local governments have agreed on a uniform system. The routing ID is public information and is used by all suppliers to address their invoices to the correct authority or invoice department. This ID is included in the corresponding e-invoice format.
The route ID is a mandatory field for the X-invoice format. Order number (enter in the basic data of the course, will be communicated by the client) Route ID (enter in the basic data of the course, will be communicated by the client)

E-mail for invoice recipients

In the address settings for the client, save an email address (provided by the portal or the client) as E-mail for invoice recipients.
By clicking specify that this e-mail address is used by default for sending invoices.

Extended information

Contact person of the client

The e-bill has been expanded to include the output of the contact person at the client. The contacts that you have saved for the client can be found on the LV under the tab Addresses can be selected and stored. Your name, telephone number and email address are also transferred.

Supplier number for the client

Please store your supplier number with the customer in the address manager under the customer properties under the data field customer number.

VAT ID of the client for invoices with 0% VAT according to §13b UStG

If you issue an e-invoice with 0% VAT in accordance with Section 13b UStG, it is mandatory to show the invoice recipient's VAT ID. Please store this in the address details of the recipient of your invoice. To do this, please switch to the relevant address and switch to the Client tab via the Details tab. Using the plus logic for the item master data, you will also find the VAT ID no.

Attention, if a different service recipient is stored on the LV (see below), it must be ensured that the VAT ID is at the address of the Invoice recipient is deposited.

Different service recipient

The e-bill has been expanded to include the output of the different service recipient. By default, this is the address in the project management on the tab Addresses > Clients is stored and is identical to the client in the project tree. By default, this is also the address that is sent with the e-bill as the invoice recipient. If the recipient of the service and the recipient of the invoice have different addresses, assign the address to the client of the project tree different invoice recipient to. This is then used to create the e-bill and transmitted with the billing data.

Run different companies as business units

Use the business areas in DATaflor BUSINESSIn order to map individual companies, you have to make further additions for e-invoicing. You will find the tab within the business area administration address data. In this, please store the different mandatory information on an invoice for each company (address data, VAT ID and bank details). Stand as bank details to have the bank details created in the financial administration.

Depending on which business area you have selected after the course, this data is automatically transferred to the e-bill.
